Appraisal

Appraisal copilot

Appraise it once, on a phone.

Seven guided steps take a trade-in from the VIN to a submitted offer. They are made for one hand in the lot with the customer waiting, and every field saves as you go.

The seven steps

Seven steps, saved as you go.

Pick a step to see its screen. The sample is APR-0381, a 2022 Land Cruiser GXR that Omar Haddad appraised at Sandstone Motors Downtown.

Vehicle

Scan the VIN through the windscreen or type it. No VIN? Pick the car from the catalogue.

  • The match is always labelled: confirmed by the VIN, picked from the list, or the decoder's guess
  • A car already in stock or in someone's open appraisal can't start a new one

History checks

The price comes before the check.

The import and GCC check runs by itself as soon as the car is identified. The vehicle history report, for damage, title and theft records, costs AED 15 and says so before it runs. Nothing is charged until you confirm.

  • Results are dated and sourced, and never say “clean”
  • Keep going while a check runs: the result stays on the appraisal
  • A car picked from the catalogue has no VIN, so it can't be checked

Other fields retry while the page is open

Every field saves as you go. Offline, a field keeps retrying until it saves, but a reload before then loses that change. Keep the page open until the signal is back.

No signal: 4 photos are waiting on the phone. They'll upload by themselves when the signal returns.

Condition

Damage priced from your own library.

Grade the car from Excellent to Poor, then mark damage on a 10-panel body diagram. Each mark is priced from your reconditioning library, and standard preparation lines can be switched off for a car. The total goes into the offer as a cost.

  • The driver's side stays on the left, and the diagram never mirrors in Arabic
  • Every mark priced from your own library
  • Preparation lines on or off, car by car

Review and submit

One plain sentence, then frozen.

Offer for your car

2022 Toyota Land Cruiser GXR

41,200 km · GCC spec · APR-0381

AED 206,000

Valid until 19 October 2026

This offer is subject to inspection of the documents and the car as described.

Shared by WhatsApp · 09:44

Sandstone Auto Group: our offer for your 2022 Toyota Land Cruiser GXR is AED 206,000.

  • Printing or sharing presents the offer. That ends the approver's five-minute undo window.
  • Valid for 7 days by default. When that runs out, the appraisal shows as Expired; the check runs every 10 minutes.

After submission

Every appraisal ends somewhere clear.

Each appraisal carries one status, from Draft to Won. The pipeline lists them as a table or a board, with the ones needing action first.

Other endings

  • Changes requested An approver sent it back with a note. It returns to the appraiser.
  • Declined The dealer chose not to buy, with a reason.
  • Lost The customer walked away.
  • Expired The offer ran out: 7 days by default, checked every 10 minutes.
  • Discarded A draft abandoned before submission.

Lost, declined and expired appraisals can be reopened, unless the car is now in stock or in another appraisal. A revised offer goes through approval again.

Mark it won

Two things must be true first.

  • A confirmed VAT treatment Dana Yousif confirmed the margin scheme at 10:31
  • A final price no more than AED 500 above the approved amount Up to AED 206,500 for this car without approving again

The car becomes incoming stock in the same step, with its final price, reconditioning estimate, VAT treatment and evidence, and the car photos. Damage photos and documents stay on the appraisal.

Also in the appraisal

No double work, no lost drafts.

  • One car, one appraisal

A car already in stock or in someone's open appraisal can't start a new one. The screen says who has it: “Omar Haddad is already appraising this car.”

  • Save and exit

Every field saves as it goes. Save and exit keeps the draft, and it reopens at the furthest step reached.

  • The same steps on the desktop

The seven steps are the same on the phone and the desktop, so a draft started in the lot can be finished at a desk.

  • Paid decodes ask first

Mercedes-Benz VINs may cost money to decode, so DealRevs asks before it runs one.

  • No margins on the sales phone

A sales executive sees the opening offer and the maximum, never cost or margin. The server leaves those figures out; it doesn't just hide them.

  • A sanity check on mileage

The mileage is checked against the car's age: 5,000 to 25,000 km a year, unless an expected mileage is known for the car.

Who does what

The copilot guides. You appraise.

The appraisal copilot Does the homework
  • Walks you through seven steps and saves every field as it goes
  • Runs the import check by itself and prices paid checks before they run
  • Queues photos on the phone until the signal returns
  • Prices each damage mark from your reconditioning library
  • Writes the recommendation in one sentence and checks the list before you submit
You Make the call
  • Confirm the car, its mileage and its spec
  • Take the photos and mark the damage
  • Agree the offer with the customer and record their consent
  • Submit it, pass on the car, or save and exit
  • An approver decides before the offer is presented

Questions

Asked in the lot.

What happens when the signal drops?

Photos queue on the phone and upload when the signal returns, even after a reload. Other fields keep retrying while the page stays open, but a reload before they save loses those changes, so keep the page open until you're back in signal.

Can two people appraise the same car?

No. A car already in stock or in someone's open appraisal can't start a new one, and the screen says who is appraising it.

What do history checks cost?

The import and GCC check is included and runs by itself. The vehicle history report, for damage, title and theft records, costs AED 15. It shows its price before it runs and is charged only once you confirm. A stored result is reused at no charge, and a failed run isn't charged.

Can we appraise a car without a VIN?

Yes: pick it from the catalogue. Without a VIN, though, no history check can run.

Who sees the customer's details?

Only people allowed to see customer contact details. For everyone else the server masks the number, for example +971 •• ••• 0100.

Does the offer change if the market moves?

No. On submission the whole decision is frozen with its market, history, VAT and policies. Later market moves are shown beside the frozen figures, never merged into them.

How long is an offer valid?

Seven days by default. After that it expires, checked every 10 minutes. An expired appraisal can be reopened, unless the car is now in stock or in another appraisal.
